Job Duties
Our current client service manager has been with the firm for 15 years but will be retiring at the end of the year.
She serves as both client service manager and executive assistant to the owner of the firm.
In this role, she does the following:
Assists the CFP owner with all client service
Creates systems to track and set up investment transfers
Opens new accounts using DocuSign and with old fashioned paper applications
Generates reports for client meetings
Processes phone calls from clients, when appropriate, handles client service requests
Updates pending business summary sheet for advisor’s attention
Updates contact management system CRM
Drafts letters as directed by advisor
Files and uploads client statements, correspondence, agreements, and so forth
Greets clients and serves as the director of first impressions
Manages advisor's calendar
Makes suggestions to systematize and improve office functioning
Anticipates advisor’s needs and handles them proactively
Tracks all progress for new accounts, transfers, disbursements, etc.
Sends out group emails to clients
Delegates tasks to licensed junior financial advisor for trades, etc.
Calculates and tracks client RMD payments
Tracks Roth IRA, IRA, SEP IRA contribution amounts for client accounts
Keeps CRM up to date with all notes and pending client tasks.
Interacts with home office personnel for help with technology, service, etc.
Other office duties like process mail, file, answers phones, and send newsletters
Answers client calls, emails, and service requests

Must be extremely attentive to detail.
Must be self driven and enjoy being busy.
At least 5 years of financial industry experience, accounting, or banking. Finance degree, Accounting degree, of CPA considered without experience.
Passionately committed to serving and caring for others.
Able to handle multiple projects simultaneously and operate successfully under deadlines.
Able to follow directions while knowing when to take the ball and run with it.
Software experience in Microsoft Word and Excel is required.
Highly Internet-savvy and able to navigate or learn Morningstar® and other financial software packages.
