Job Summary:
This position is primarily responsible for general ledger accounting, analysis, and financial reporting focusing on expense accounts, fixed assets, and accounts payable (A/P). As part of a team, responsible for critical functions for fiscal year end close, preparations for annual financial audit, monthly reconciliations and related analysis, and monthly board report (financial statement package.) Under general supervision of Director, Finance or Executive Director, Finance, this position performs complex accounting and analytical functions with a high degree of accuracy, accountability, autonomy, organization, and confidentiality. Supervises the A/P Specialist position.
2. Capital Asset Management - Responsible for capital asset processes, ensuring compliance with related policies, defining depreciable lives, and maintaining accurate asset records.
3. Departmental Expense Budget Coordination - Assist with management and review of departmental expense budget submissions for reasonableness, completeness, and accuracy.
4. Backup for A/P Processing - Serve as backup for A/P processing, ensuring timely and accurate invoice payments, expense reimbursements, and procurement card transactions.
5. Problem-Solving & Escalation. Supervise A/P Specialist and serve as primary point of escalation for A/P Specialist, assisting with complex issues, vendor inquiries, and system/process improvements.
6. Workflow Software Administration - Maintain and optimize workflow application for managing invoices, expense reports, and procurement card transactions.
7. Policy Compliance & Internal Controls - Ensure adherence to policies and regulatory requirements for expenditures and capital assets including proper approvals and supporting documentation.
8. Reconciliation of A/P & Capital Expenditures - Prepare monthly reconciliations of A/P, capital expenditures, and related general ledger accounts to ensure accuracy and proper classification.
9. Cash Disbursement Monitoring - Ensure that vendor payments, employee reimbursements, and procurement card transactions align with cash flow availability and budgeting constraints.
10. Audit Preparation & Support - As part of annual audit and ad hoc examinations, prepare and provide documentation related to A/P, capital assets, and expenses.
11. Process Improvement & Automation - In assigned areas, review accounting systems and determine best practices to gain efficiencies and improve effectiveness.
12. Institutional Historian - Ensures that complete, accurate, and well-organized files are maintained and easy to quickly access. Ensure important decisions in assigned areas are documented and maintained. 13. Associates degree required. Bachelors degree in accounting, business, or finance preferred. CPA highly preferred. Experience in accounting required, public accounting experience highly preferred. Ellucian Banner experience highly preferred. Intermediate or advanced skills in Microsoft Excel and Word required. Ability to organize, analyze, prioritize, and communicate well are necessary.
Grade: Salary Range: $58,781
