*This is a hybrid role, with required in-office days each week in Raleigh, North Carolina*
The Director of Operations and Member Engagement is responsible for developing and directing all aspects of association operations, especially with regard to administrative operations, governance operations and office management. The Director of Operations and Member Engagement is the association’s leader of the Membership Department and membership growth and belonging initiatives, as well as strategic special projects, particularly those aligned with the association’s relentless inclusion objectives.
This position supervises NCNAs full-time Membership Coordinator, full-time Manager of Special Projects and part-time Administrative Assistant. The position also serves as team leader and/or project manager of other strategic initiatives and projects, as needed.
Governance Operations:
Provide expertise and support overall governance to ensure implementation of designated programs as directed by NCNA’s strategic priorities. Responsibilities include:
Collaborating with CEO on the implementation of NCNA’s multi-year strategic plan, including dashboard development, engagement tracking and reporting of key metrics.
Evaluating existing programs, services and procedures to determine progress toward stated goals and objectives and recommending changes to the CEO.
Partnering with CEO in providing direct support to the Board of Directors, including planning and executing Board meetings/retreats, developing materials and presentations for Board meetings, and supporting meeting logistics.
Serving as primary staff leader, facilitator and key contributor for multiple volunteer groups to ensure implementation of groups’ programs of work as directed by the NCNA strategic plan and Board of Directors.
Providing logistical and operational support to various committees including organizing and attending meetings (both in person, online and conference calls), agenda development, compiling meeting summaries/reports, and maintaining meticulous digital and paper records. Groups may include but are not limited to: North Carolina Foundation for Nursing Board of Trustees and related subcommittees, Awards Committee, Nominations Committee, Bylaws Committee and other committees or groups as assigned.
Coordinating with Executive staff and volunteer leadership to facilitate the training and orientation of new chairs of committees, advisory groups and task forces.
Developing and maintaining volunteer job descriptions and accountability requirements.
Assisting with producing, maintaining and updating policy manuals, bylaws and other documents under the direction of the CEO and Board.
Administration of the association’s statewide member elections
Providing guidance and oversight for staff organizing the NCFN Leadership Academy including application and selection processes, agenda development, meeting logistics, and program assessment. Providing senior leadership presence and inputs for the Leadership Academy retreats.
Overseeing volunteer data including solicitation/verification of required volunteer participation documents.
Serving as project manager and/or team lead on association initiatives and projects.
Administrative Operations and Office Management:
Ensure the effective and efficient day-to-day operations of NCNA by facilitating the management of all general operations such as internal administration, vendor/supplier relations and facility management. Responsibilities include:
Leading development and implementation of association best practices, systems and processes to support efficient and effective organizational operations.
Managing association-related agreements and facilitation of the review, negotiation and signing of any new or renewed agreements, as well as any related RFPs and bid solicitations. Providing review of contracts for NCNA events as well as for additional third-party vendors.
Managing the association’s insurance policies, ensuring timely policy renewals and obtaining certificates of liability.
Developing and maintaining production schedules, vendor records and contract renewal schedules, and other work plans, as needed.
Managing the facility, landlord relations, and other office needs including development of the capital budget and long-range capital improvements plan for information technology, audio visual, etc.
Creating and managing NCNA’s annual budget for membership and association operations, as well as for NCFN.
Interfacing with auditors and providing key documentation for annual audit.
Serving as lead staff contact for outsourced Information Technology services, technology platforms, audio/visual, landlord, phone/internet, copier, mail machine, print needs, and various other partners.
Serving as primary point of contact for staff recruitment needs, including candidate postings, screening, and new hire onboarding.
Communicating with staff to ensure administrative and office assistance needs are being met as well as providing support for association events as needed.
Membership:
Oversee all membership growth and member engagement efforts, as well as recruitment and retention strategies. Responsibilities include:
Developing membership growth and engagement strategies aligned with NCNA’s strategic priorities.
Leading the association’s multifaceted efforts to increase membership and strengthen member engagement and belonging.
Communicating with the CEO and Board of Directors the needs, accomplishments, and outcomes of the Membership department.
Directing NCNAs relationship with its membership marketing partner, analyzing results of the partner’s work and developing strategies to ensure high return on investment for the partner’s efforts.
Ensuring non-dues revenue generation; specifically, through affinity program relationships and partnerships.
Qualifications:
Undergraduate degree in business, non-profit management or other related degree and minimum of seven to ten years of related experience required; Advanced degree and/or association credentials encouraged; Certified Association Executive (CAE) credentials are a bonus.
Proven track record of team supervision, staff training, teaching and orientation.
Ability to make short- and long-term decisions regarding highest priority work areas, and appropriate delegation of projects and tasks.
Proven ability to manage multi-functional or diverse areas of work.
Ability to work effectively under deadlines and manage projects independently.
Excellent communication skills, strong organizational skills and keen attention to detail.
Excellent people skills and an enthusiastic attitude.
Resourcefulness in solving problems.
Proven results in membership growth, sales or fundraising are a plus.
Prior association experience preferred.
Strong computer skills, including knowledge of standard technology applications and database manipulation.
Ability to occasionally work nights or weekends to attend meetings, events and activities. Occasional overnight travel is required. Reliable, personal transportation is required.
